Invoice template: the fields that matter and why

Most invoice problems are template problems: a missing number, no due date, or payment details buried in a footer. This is the field list a clean invoice needs, what to write in each one, and how to stop maintaining the file by hand.

The field checklist

Your business name, address and tax or trade licence number. The client's legal name and address. A unique invoice number, the issue date and the due date. Line items with description, quantity, unit price and line total. Subtotal, discount, tax and the amount due, with the currency stated.

Then the payment block: how to pay, with enough detail to complete the transfer without asking you a question. That is where most templates are thinnest and where most delays start.

Wording that prevents disputes

Describe what was delivered, not the category of work: 'April social media management, 12 posts' beats 'marketing services'. A description a client recognises is a description they approve quickly.

Write payment terms explicitly — due on receipt, or within 14 days — and say what the amount due includes. Assumptions cost more time than sentences.

Numbering and record-keeping

Invoice numbers should be unique and sequential, with no gaps you cannot explain. Manual templates break this the first time two invoices go out on the same day.

Keeping every issued document in one place also means you can answer 'what did we bill in March' without opening a folder of near-identical files.
